Two screens, both under “More” in the reshipping navigation: Invoices and payments keeps every accounting document and every quote of your workspace, and Cards and direct debit holds the card that pays and the authorisation that allows it to be charged. A paid quote leaves an invoice behind it; a service delivered on an item leaves one that is still to pay; and a transport top-up can be charged under a mandate you sign — on this page, you can read exactly when each of those happens.
The Invoices and payments screen: the three tiles of the last twelve months, the month-by-month table, and the list of invoices with their number and their Paid on chip.

The Invoices and payments screen, on our demo workspace.

Where the two screens are

Neither screen is on the thumb bar. On a phone, open “More” at the bottom: the sheet lists “Invoices” and “Cards”. On a wide screen, both sit at the end of the left column.
An invoice has no address of its own. There is no page per document: an invoice is read in the list, expanded on the spot, or opened as a document in a window. The link you can keep is the screen’s, not the invoice’s.

Invoices and payments, section by section

The screen reads everything once, when it opens — your invoices over the last twelve months, your quotes, and the month-by-month totals — and its subtitle says what it holds: “Every invoice, every quote, and what you spent month by month.”

Last twelve months

Three tiles, then a table. The table “Spending month by month” has five columns: “Month”, “Invoices”, “Rega services”, “Disbursements”, “Total charged”. Three things about it are easy to misread:
  • A month with no invoice has no row. The table does not invent a “€0.00” line to keep the calendar continuous.
  • A credit note counts as a negative amount. The totals are net, which is what a summary of what you spent is supposed to show.
  • The three tiles only appear when every month shares one currency. Otherwise no sum is written at all — only the table remains, because a total that mixes currencies means nothing.
With nothing to show, the section reads “No invoice over the last twelve months.”

Your invoices

The section opens on one sentence, and it is the one to keep: “An invoice is an accounting document: it is final.” Three filter chips follow — “All”, “Paid”, “Outstanding” — and the screen always opens on “All”: it is never pre-filtered. A credit note is never “Outstanding”. When a filter hides everything: “No invoice matches this filter.” If there is nothing yet: “No invoice yet.”, followed by “An invoice is issued for each service delivered: shipping, storage, dispute.”
That last sentence overstates. Today no dispute issues an invoice, and storage is only ever billed inside the invoice of a paid parcel. The two events that really produce a document are described in When an invoice is issued.

One invoice row

A click expands the row on the spot, and only one row is open at a time. The detail is read once and kept; while it arrives, two skeleton lines; if it fails, a banner and a “Retry” that re-reads without closing the row.
An expanded invoice row showing the Shipping (disbursement) line, the Consolidation and packing, Options and Payment fees lines, the Total services, Total disbursements and Total lines, and the View the invoice button.

An invoice expanded on the spot: its lines, the nature of each, the three totals, and the button that opens the document.

Inside, every line carries the label that was frozen on the document, in your language, with a chip saying its nature — “Disbursements” or “Rega services” — and “2 × €12.00” only when the quantity is above one. Then always three lines, even at zero: “Total services”, “Total disbursements”, “Total”; then the legal mention as frozen, “TVA non applicable, article 293 B du CGI”, which is never translated; then the “View the invoice” button.

The document

“View the invoice” opens the document in a window. From top to bottom:
  • “Invoice” or “Credit note”, “Issued ”, the number, and a stamp — “Paid on or “Awaiting payment” (never on an unpaid credit note).
  • “Issued by”: REGA’s details, copied onto the document the day it was issued. If our address changes, the documents already issued keep the one they were born with.
  • “Billed to”: your sender details. Without them, the document says: “No billing details on file. Add them in your settings and they will appear on your next documents.”
  • “Parcel” and “Payment reference”. The reference is shared by every invoice settled in the same grouped charge, and it appears only here, never in the list.
  • Two blocks, each with a “Subtotal”, and a block with nothing in it is not drawn at all: “Disbursements” — “Costs paid by Rega in your name and on your behalf, rebilled to the cent, with no markup.” — and “Rega services” — “Services performed by Rega: consolidation, options, storage, dispute handling.” The columns are the designation, the quantity, the unit price and “Amount”.
  • The totals, then the mentions a document between professionals must carry: “Payment due on receipt of invoice.”, “Late payment penalties: . No discount for early payment.”, “Fixed recovery cost indemnity: .” The rate is frozen as it was written when the document was issued — in French, even on the English document — and the indemnity is €40.00.
  • At the foot, the legal mention and its translated gloss.
The invoice document in its window: the Invoice title, the number, the Paid on stamp, the Issued by and Billed to blocks, the Parcel and Payment reference fields, and the Disbursements block with its Shipping line.

The document itself: Issued by, Billed to, the parcel and the payment reference, then the lines, block by block.

The “settings” in that sentence are not the Settings screen. Your sender details live on the Addresses page of the reshipping service, in the section “Your sender details” — whose help says: “They name you on your invoices and identify you as the sender on customs documents. These are not delivery addresses.” Fill them in there: they are also required before a quote can be paid. See Getting started.
Under the document: “Your accounting document. “Print” opens the print dialog: choose “Save as PDF” to keep a file.” — and the “Print” button, which opens your browser’s print dialog. That is the whole export: there is no PDF attached to an e-mail, no one-click download from the list, and no file generated on our side. What you keep is what you save from the print dialog.

Your quotes

Under “Your quotes” — “A quote is a proposal: nothing is owed until it is paid.” — one card per quote: the carrier and the service as the carrier names them, “Parcel , “Valid until only while the quote is neither expired nor paid, exactly one chip in this order of priority — “Paid on , then “Expired”, then “Chosen” —, the total, and “Open the parcel”. Empty: “No quote.” and “A quote is issued as soon as a parcel is ready to ship.”
There is no “Pay” button on this screen. The gesture that pays a quote lives on the quote itself, reached through “Open the parcel” — see Consolidation and quotes.

When an invoice is issued

Exactly two events produce a document.
One invoice per paid quote, attached to the parcel. Its lines: “Shipping (disbursement)” — a disbursement —, then, among “Consolidation and packing”, “Options”, “Insurance”, “Storage” and “Payment fees”, the ones that are not zero — all Rega services. Nothing is rounded: the total is exactly what your card was charged. The document is born already paid, stamped “Paid on ”, with the payment reference of the charge.
A dispute issues no invoice — its fee is paid on the dispute itself, and no document follows. A credit note is never created by anything you can do: the “Credit note” chip and the negative row in the monthly totals describe a state the product knows how to show, not one it creates today.
“Invoice issued” is the eighth type in the Reshipping tab of the bell’s settings. It is on unless you turn it off. See The e-mails we send you for the difference between the bell and a letter.

Paying what is outstanding

The settlement band only exists when something is due: unpaid invoices, which are not credit notes, whose total is above zero, and all in the same currency. It says “1 item to settle — €12.00” (“ items to settle — ” beyond one) and carries the “Pay now” button, which reads “Payment in progress…” while the charge is under way.
The Your invoices section with the settlement band reading 1 item to settle — €12.00 and its Pay now button, above an invoice row carrying the Awaiting payment chip.

The settlement band above the list, and the one invoice carrying Awaiting payment.

1

Click “Pay now”

One charge covers every outstanding document, on your saved card — the preferred one, otherwise the first. Nothing leaves the page.
2

If your bank asks for a validation, it happens here

The bank’s challenge is shown on the spot. Once you have answered it, the screen asks our server to conclude: the server re-reads the outcome at our payment provider — it does not take the browser’s word for it.
3

Read the green banner

“Settled: €12.00. A single charge covers all these items.” The invoices switch to “Paid on ”, and they all share one payment reference on their document.
Refusals are written under the band, not in a pop-up:
A charge whose outcome is unknown is never replayed. If you read the processing sentence, do not look for another way to pay: the document will switch to “Paid on” on its own if the charge went through, and we come back to you if it did not.

The transport top-up, seen from your side

The real cost of transport is only known once the parcel has been weighed. When it exceeds what you already paid on the quote, the difference can be charged without you in front of the screen — but only under four conditions, all of them yours to see:
  1. a signed and current mandate — see The direct debit mandate;
  2. a difference within the cap written in that mandate: a percentage of the amount already paid for that parcel (20 % today, and the setting can only range from 10 % to 50 %);
  3. a notice period elapsed since the invoice was issued — 24 hours today;
  4. a preferred card to charge.
What you actually see: the “Invoice … issued” notification when the document is born, then, once the notice has run, the document passing to “Paid on . There is no notification at the moment of the charge: the invoice is the notice. Above the cap, nothing is charged and you read, on the document: “This difference exceeds the agreed cap: it cannot be charged automatically. A quotation is issued instead.” — and a normal quote arrives for the difference.
You do not set the cap yourself. The percentage and the notice period are settings of your workspace, agreed with us; the mandate text you sign carries their values. They are the terms of articles 3.2 bis, 12.3 and 12.5 of the terms of sale: keeping a card authorises no charge by itself, the transport is advanced in your name, and a difference is only ever charged within a stated percentage, after a notice, and with an invoice issued before any charge.

Cards and direct debit

The Cards and direct debit screen: a Visa •••• 4242 carrying the Preferred chip, a Mastercard •••• 4444 carrying Expiring soon, and below them the direct debit mandate with its six paragraphs and a Signed chip.

The Cards and direct debit screen: two cards, the preferred one, and the mandate — here signed.

The subtitle says the whole thing: “The card that pays for your reshipments, and the authorisation that allows it to be charged.” Those are two different objects on the same screen, and the second never follows from the first.

What a saved card allows — and does not

What it allows

Paying a quote without leaving the page — your bank’s challenge, if any, is shown on the spot. Settling outstanding invoices with “Pay now”. Being the card the transport top-up is charged to, if a mandate is signed.

What it does not authorise

Nothing by itself. Saving a card authorises no charge: only the mandate authorises a charge while you are not there. Without a mandate, every document is paid by you, one “Pay now” at a time.
Without a saved card, a quote is paid on our payment provider’s hosted page, as before. What REGA sees of a card is its brand, its last four digits and its expiry — never the number, which is typed at the provider and does not pass through us.

Your cards

Empty, the section says “No card saved” and “With no saved card, no quote can be paid and no parcel leaves.”, with the “Add a card” button. Each saved card is one block: A refusal stays under its own card. The preference itself lives at the payment provider: after each gesture, the screen re-reads.
You cannot remove your last card while a mandate is alive. The screen answers: “This is your last card, and your direct debit mandate is active. Revoke the mandate, or register another card before removing this one.” A mandate without a card would fail at the exact moment a parcel is ready to leave — so the mandate goes first, consciously.

Adding a card

“Add a card” opens a panel inside the page, not a window, titled “New card”: “The number is entered at our payment provider: it never passes through REGA and we do not keep it.” Then “Opening the secure form…”, the provider’s own field — in your language, with its own entry messages —, the box “Make this my preferred card” (ticked for you when you have no card or no preferred one), and “Save the card” or “Cancel”. A card the provider refuses is corrected in place, without retyping everything. Saved: “Card saved.”
The New card panel opened under the cards: the sentence about the payment provider, the card number field, the Make this my preferred card box, and the Save the card and Cancel buttons.

The New card panel, in the page: the provider's field, the preferred box, and the two buttons.

Three failures, each of which leaves nothing behind: Two more sentences: “Fill in the number, the expiry date and the security code.” when the field is incomplete, and “Card saved, but it could not be set as preferred. Set it from the list.” — the card is there, only the preference failed; “Use this one” finishes the job.

The direct debit mandate

The section carries one chip — “Signed”, “Not signed”, or “Needs signing again” — and, once signed, “Signed on .” Under the header, when the mandate is not current, a box “Without a mandate, here is what is not possible” with two lines:
  • “The transport top-up cannot be charged: when the real cost exceeds the amount already paid, the parcel waits for you to settle the difference by hand.”
  • “The service stays usable: each invoice is then paid one by one, at your initiative.”
The direct debit mandate section with the Not signed chip, the box Without a mandate, here is what is not possible, the mandate text, the I have read the mandate above and I accept it box, the Your name, as a signature field and the Sign the mandate button.

The mandate before it is signed: the two consequences, the six paragraphs, the acceptance box, the signature field.

Then the text of the mandate, six paragraphs, with the cap and the notice filled in from your workspace’s settings:
  1. “You authorise REGA to charge the card you designate for the amounts due under the reshipping service: transport advanced in your name and on your behalf, and the services you have requested.”
  2. “Transport is re-invoiced to you to the exact euro, with no margin: it is a disbursement, advanced in your name and on your behalf. REGA services are invoiced to you separately.”
  3. “When the real cost of transport exceeds the amount you have already paid, the difference is charged up to % of that amount, and never before hours’ notice.”
  4. “REGA falls under the French VAT exemption scheme: no VAT is applied on its invoices, under article 293 B of the French general tax code.”
  5. “You can revoke this mandate at any time from this screen. Revocation applies to the future: it does not call into question debits already taken.”
  6. “The date, your signature and the technical details of your connection are kept. They serve only to prove which text was accepted, and when.”
If the cap and the notice are not known to the screen, the mandate is not offered at all. You read instead: “The debit limits, the percentage and the notice period, are not known to this screen. The mandate is therefore not offered for signature: we do not ask anyone to sign a text with holes in it. Try again later.”
1

Tick “I have read the mandate above and I accept it.”

Without it: “Tick the acceptance box before signing.”
2

Type your name under “Your name, as a signature”

The example is “First name Last name”. The help says why: “It is kept with the date and the technical details of your connection: this is what makes the mandate enforceable.” Without it: “Type your name to sign.”
3

Click “Sign the mandate”

What is signed is exactly the text shown, in the language you read it in. The screen answers “Mandate signed.”
Signed, the section offers “Revoke the mandate”: “Revoke the mandate? Nothing will be charged automatically any more, and each invoice will have to be paid one by one. Debits already taken are not affected.” — “Confirm” or “Cancel”, then “Mandate revoked.” Revoking does not delete the signed record; it stops what it authorised.
When the wording changes, the chip becomes “Needs signing again”. The help says: “The mandate text has changed since you signed: direct debit stays suspended until the new wording is accepted.” A consent given on one wording does not carry over to another — until you sign the new text, nothing is charged automatically. The wording in force today is dated 4 September 2026.
Two banners can sit under the screen’s header. When the mandate is not current: “No mandate signed: the transport top-up cannot be charged, and a parcel whose real cost exceeds the estimate will wait for a manual payment.” — or the “Needs signing again” help. And when your workspace is not linked to the payment provider yet: “Saving a card is not available on this space at the moment. The mandate can still be signed.” — which is not a failure, and the “Add a card” button is simply absent.

The screens’ states

What surprises people

That is the point. The invoice of a paid quote is born stamped “Paid on”, with the payment reference of the charge: it is your accounting proof, not a second demand. Only the invoices of services delivered on an item are born “Awaiting payment”.
“Add them in your settings” on a document without billing details points at the reshipping Addresses page, section “Your sender details” — not at the Settings screen of the application.
Saving a card authorises no charge, and the terms of sale say so (article 3.2 bis). What can be charged while you are away is the transport top-up, under the mandate only, within its cap, after its notice — with an invoice issued first.
The notification you get is “Invoice … issued”, when the document is born. The charge itself, once the notice has run, is silent: the invoice passes to “Paid on ”, and that is what you see.
A month with no invoice has no row. The table is not a calendar; it is the list of months in which a document was issued.
REGA-2026-000012 belongs to one series for the whole of REGA. The number after yours is not necessarily one of your documents, and a gap in your list is not a missing invoice.

On a phone

Invoices and payments on a phone: the month table rendered as cards, and “More” on the thumb bar.

  • Both screens are reached through “More” on the thumb bar — the sheet lists “Invoices” and “Cards”.
  • Below 720 px, the month table becomes one card per month, each value under its column name.
  • Below 560 px, the “Rega services · Disbursements” split disappears from the invoice rows; it is still in the expanded detail and on the document.
  • The cards of the Cards screen stack in a single column.

What this does not do

The only export is the print dialog opened by “Print”, with its “Save as PDF”. Nothing is generated on our side and nothing is attached to a letter.
A dispute fee leaves no document, and no gesture of yours produces a credit note. Both states exist on the screen; neither is created today.
A document is read in the list or in its window; there is no page you could bookmark for one invoice.
The percentage and the notice period are workspace settings agreed with us; the mandate carries their values, and the screen has nowhere to change them.
The invoice is the notice. The charge, once it runs, only shows as “Paid on ”.
